Location: East Coast (Miami office available; remote possible)

As we expand operations directly in the USA, we are seeking a detail-oriented Sales Operations Specialist to support our sales team and enhance operational efficiency.

Position Overview

We are looking for a highly organized Sales Operations Specialist to assist our sales team and improve overall operational efficiency. The ideal candidate will have experience in the dietary supplements, beauty, or wellness industry and a strong understanding of sales operations across both online and offline retail channels.

Key Responsibilities

Sales & Operations Support

  • Sales Process Optimization – Support the sales team with administrative tasks related to retailers and order processing, EDI, including approving and processing orders daily to ensure smooth operations and fulfillment.
  • CRM – Input and maintain relevant sales data.
  • Sales Forecast -– Assist sales team in forecasting and promotional strategies.

Financial & Broker Coordination

  • Invoice Management – Follow up on account receivables to ensure timely payments and resolution of outstanding balances.
  • Invoice Analysis – Review Account Receivable deductions from direct key accounts to determine their validity and challenge when necessary.
  • Broker Coordination
    • Work with our national broker to manage account receivable payments and retailer and distributor deductions.
    • Build broker commission template.
    • Send monthly commission statement to the broker.
    • Promotions
  • Promotional Support – Assist sales team in planning and executing sales promotions to drive revenue growth.
  • Promotional Template – Create template to track and match key accounts' promotional programs, ensuring accurate deductions and financial reconciliation.

Qualifications

  • Bachelor's degree.
  • 5+ years of experience in sales operations, sales support, or a similar role—preferably in the beauty, wellness, or supplement industry.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Experience in accounts receivables and deductions management.
  • Strong organizational skills and attention to detail.
