What are the responsibilities of the HR Specialist Role at Rijk Zwaan USA?
Rijk Zwaan's primary goal is to offer its employees a sustainable and pleasant job with good working conditions. The Human Resources department has a very active and supporting role in this. Within this position you will work closely with the Managing Director of Finance/HR and our Office Manager to support USA Managers, Team Leads, and colleagues with all HR topics. The emphasis is on general HR Administration, recruitment, onboarding, Learning and Development, and HR Systems.
General HR Administration
- Process bi-weekly payroll and maintain payroll reports and reconciliations.
- Prepare and administrate annual employee rate sheets documenting annual increases and status changes.
- Monitor and maintain time off tracking to include notifying management of time off requests for approval.
- Facilitate payroll and workman’s comp related audit requests.
- Handle benefits enrollments and administration; processing updates as needed.
- Coordinate Workshops with our benefits and service providers to enhance employee awareness and knowledge of benefits offered.
- Assist with drafting employment related contracts.
- Maintain our HR Handbook and other HR document updates and distribute changes.
- Assist with process for Immigration related Visas (new and renewals)
- Assist with executive and visitor agendas.and Meetings
- Oversee planning and coordination of employee events.
- Manage employee recognition programs and activities.
- Establish and maintain employee HR files, confirming completeness, accuracy, and compliance with company policies.
- Efficiently process background checks, requests for verification of employment, unemployment claims, and other employee or manager inquiries, ensuring timely and accurate responses.
- Maintains location “bulletin boards” with required labor posters, employee postings and general information.
- Assist our Office Manager with fleet vehicle coordination and monitoring all policies and actions in the area of risk management (insurance, security, and safety compliance) as needed.
- Actively contribute to special projects, leveraging HR expertise and providing valuable support as requested.
Recruitment:
- To assist Managers and Team Leads, you are responsible to draft and update job descriptions, post vacancies, track applicants, and schedule job interviews using our applicant tracking system.
- Proactively inform and engage candidates and actively involve colleagues in the recruiting process.
- Coordinate attendance for career fairs and HR related conferences.
- Maintain contacts with university career services and local recruitment and selection agencies.
Onboarding:
- Manage the entire onboarding checklist process and agenda for new hires, ensuring a smooth transition.
- Ensure accurate and timely input of new employee data into our global and local HR Systems.
- Timely handle all onboarding and/or offboarding paperwork and processes ensuring compliance and completeness.
- Communicate proactively with Managers, Team Leads, colleagues, and our Global HR Group in Holland to streamline the onboarding process for new hires, creating a collaborative and efficient onboarding experience.
Learning and Development:
- Collaborate with Managers, Team Leads and our Global HR Team to facilitate local training programs and education workshops to engage the Team, covering topics such as Performance Management, Leadership Development, Change Management, Conflict Resolution, Communication, Health and Wellness, and Basic Employment Law, etc.
- Actively monitor course offerings through our Global Rijk Zwaan Academy and inform Managers and colleagues.
HRIS:
- Serve as our HR Systems expert, ensuring data integrity, optimizing system usage, and providing ongoing support to users.
- Work with our IT Support Lead to research and deploy improved technology solutions (i.e., AI, automation, enhanced HR platform technologies) to existing HR systems and processes to optimize workflows and enhance efficiency.

To be approachable, reliable, and follow through consistently. Strong interpersonal and listening skills and a positive congenial attitude is also important in this role.
In addition, we will look for the following on your resume:
- A Bachelor level in Human Resources or equivalent/related field
- At least 3 to 5 years of experience in HR is an advantage
- SHRM and/or HR related certifications are a plus
- Experience with Paychex and/or ADP tools helpful
- Proficiency with MS Office suite
- Experience with implementation and upgrades of HRIS systems a plus
- Commitment to ongoing self-development and learning
- Internal customer-service attitude, with high level of professionalism and exceptional integrity and discretion
- Strong written and verbal communication skills
- Well-developed organizational skills and detail-orientation
- Not easily frustrated or discouraged, extremely resilient and positive mindset
- Skilled in managing time efficiently and effectively
- Ability to prioritize and handle multiple projects and deadlines

Salary Range: $65k – $85k
Rijk Zwaan USA starting base salary ranges are determined by location, role, and level and reflect a minimum and maximum target for new hires for this position across all of our US locations.
